Managing Cash Drawer Floats, Mid-Day Drops, and Z-Report Reconciliation

A complete operational guide for store managers: morning opening cash floats, shift change handovers, mid-day cash drops, and end-of-day Z-Report balancing.

The cornerstone of retail cash control: Morning Float to Night Z-Report

Cash discrepancies between physical drawer contents and recorded sales are among the most common sources of retail shrinkage. Establishing a disciplined cash management routine protects both store owners and cashiers.

1. Morning Opening Float

Before the first customer arrives, cashiers verify the opening change float (e.g. $200 in small denominations). In ApexPOS, entering the opening float locks the initial register state and enables audit tracking for the shift.

2. Mid-Day Cash Drops (Skims)

Allowing thousands in large bills to accumulate in the register increases theft risk. When cash exceeds a set threshold, managers execute a recorded Cash Drop, safely moving excess cash to the store safe while keeping an automated audit trail.

3. End-of-Day Z-Report Reconciliation

At store closing, the shift manager executes the official Z-Report closing count:

  • The cashier enters physical counts for every coin and banknote.
  • ApexPOS compares physical currency against expected totals (Opening float + Cash sales − Drops − Refunds).
  • The system prints an itemized ESC/POS reconciliation slip showing exact over/short variance before resetting the register for tomorrow's business.
