How to see who still owes you, and follow up from your phone

Unpaid invoices usually linger because nobody looks at them on a fixed day. A due date, a list of balances and a ten-minute weekly pass will recover more money than a stern template you never send.

Every invoice needs a due date

An invoice without a due date is easy to ignore. Short dates work better for small amounts: seven days for a job you just finished, thirty days only when you have agreed that in advance. Put how to pay you (UPI, account number) in the invoice note so the reminder is not the first time they see it.

Record money when it arrives

When a customer pays, open the invoice and Record remaining payment, or record a partial payment under More → Payments. That is a bookkeeping entry only: it does not move money or talk to a bank. If you skip it, the outstanding list will nag you about people who already paid.

Use the outstanding list

In Simple Accounting & Invoices, open More → Amounts customers owe. You will see who still has a balance, including ageing buckets. Once a week:

  1. Scan for anything past the due date.
  2. Open the invoice, confirm you have not missed a payment.
  3. Share the PDF again with a short note: invoice number, amount, due date, and how to pay.
  4. If they paid in part, record the partial payment so the next reminder shows the remainder.

Do this on the same weekday. Friday afternoon or Monday morning both work; the point is that it is not optional.

Keep the reminder boring

Friendly and specific beats clever. “Invoice 142 for ₹4,800 was due 2 October. UPI: name@bank. Happy to resend the PDF.” is enough. Save arguments for after you have checked your own records.

Limits of this edition
