What a clear invoice includes
A good invoice answers every question a customer might have before paying. Include:
- Your business details: name, address and contact details.
- The customer: name, and phone or address if useful.
- An invoice number so you can both refer to it later.
- The invoice date and payment due date. “Due in 7 days” gets paid faster than no date at all.
- What you supplied: each product or service, quantity and price.
- Tax, shown separately, if you charge it.
- The total and how to pay you.
If you’re registered for GST or a similar tax, your country may require extra details on a tax invoice, such as tax registration numbers. Check the rules that apply to you with an accountant.
Create an invoice with Simple Accounting & Invoices
Simple Accounting & Invoices is a free Android app that keeps your records on your phone. There’s no login, and creating an invoice works without internet.
- Add your business details once. Open More → Business Setup and enter your business name, address and contact details.
- Start the invoice. Open the Invoices tab and tap Create Invoice.
- Choose the customer. Tap Choose customer, or + Add your first customer if this is your first. Enter their name and, optionally, phone and address, then tap Save and select customer. They’re saved for next time.
- Set the dates. The invoice date defaults to today. Under Payment due, tap +7 days or +30 days, or pick a date.
- Add items. Tap + Add item. Choose a saved product or service, or add a new one with its Price each and Tax % (0 if none). Adjust the quantity and price for this invoice if needed.
- Add a note such as payment instructions or “Thank you for your business”.
- Check the total at the bottom and tap Save Invoice.
Send it as a PDF
Open the invoice from the Invoices list and tap Share PDF. Android’s share sheet opens, so you can send it on WhatsApp, attach it to an email or save it to a folder. Sending through an online app needs an internet connection; creating the PDF doesn’t.
When the customer pays
Open the invoice and tap Record remaining payment, or use More → Payments to record a partial payment. The invoice shows payments received and the remaining balance, and More → Amounts customers owe lists everyone with an outstanding balance.
Recording a payment is a bookkeeping entry. It doesn’t move money or connect to your bank.
Habits that get you paid faster
- Send the invoice the same day you finish the work.
- Always set a due date, and keep it short for small amounts.
- Put your payment details (UPI ID or bank account) in the note.
- Check outstanding balances once a week and send a polite reminder.
- Back up your records regularly, because they live on your phone.
