Review overdue invoices before drafting a reminder

Keep invoice balances, partial payments and manual follow-ups together.

A reminder sent after the customer has already paid is frustrating. Review the ledger first, especially when a payment covers only part of an invoice.

Prepare your input

Start with invoice identifiers, customer, amount, due date and currency. Import a sample CSV or save invoices individually. Back up records before replacing a version or moving data to another computer.

Work through the task

In Payment Followup Desk, set an as-of date and show due or overdue balances. Open an invoice to record a dated partial payment with an optional reference. The balance, payment entry and audit history update together. Use Payment entries to inspect receipts. Generate a reminder draft, edit the wording and send it yourself through your usual channel. The app never sends messages automatically.

Example to try

An invoice for 500 receives a dated partial payment of 200. Its outstanding balance should become 300, and the draft reminder should mention only that amount after you review it. If the customer pays the rest later, record a second entry rather than rewriting the first receipt. Cross-check both entries against your bank or accounting records.

Check the result

Reconcile a sample invoice against bank or accounting records before contacting anyone. Imported opening paid totals may lack individual historical entries; a manual correction is audited but does not invent a receipt. Export visible or all CSV for an independent review.

Know the current limits

The desk does not collect money, connect to a bank or automatically reconcile payments. Local records are not encrypted.
